JOB TITLE: Event Coordinator

PURPOSE: The Event Coordinator will execute a comprehensive events program supporting University-wide enterprise events as well as large-scale events for the University Administration, SOBE, SOLTE, Graduate Schools and other WIUT departments. Key planning- and execution-related responsibilities may range from broad implementation of programs and events to more tactical activities.
PRINCIPAL RESPONSIBILITIES:
- To manage all pre event logistics and coordination: room setup, participants’ access to venue, AV/IT requirement, budgeting, catering, transportation and other event logistical needs with external vendors and service providers, creating badges and other duties as required;
- To be responsible for Event marketing: desktop publishing, create and send email invite using social media and internal events management tools, manage event registrations and communications with event attendees, and create attendee reports as required;
- To manage existing and create new contact databases; research and identify new contacts for inclusion in database;
- To manage and support all event-related tasks on day of event: prepare and manage materials for distribution, venue preparation, staffing of events, greeting and hosting of participants, coordinating with external vendors and service providers;
- To be responsible for post event follow up: manage event data processing and analysis, secure and process attendees and information onto appropriate databases, send thank you notes and event summary report and distribution;
- To manage Campus Space Management: campus events calendar, responding to space requests and reserving space.
Qualifications
- First degree in the area of Marketing/Management or a degree, which contains a substantial element of analytical related areas or related social science areas from an International University
- Competent in English, Russian and Uzbek
- Strong knowledge of consumer industry
- Strong range management
- Experience analyzing large amounts of data and trends
- Ability to think critically and creatively
Experience
- Evidence of analytical experience, intelligence gathering or related research experience
- Evidence working within teams
Aptitudes, Abilities, Skills and Personal Qualities
- Evidence of Quantitative analytical skills and an understanding or information systems
- Excellent communication skills
- Presentation skills
- Professional ICT skills, especially excellence in MS Excel
- Good organizational skills
- An understanding of the educational environment or similar professional environments
- A strong sense of corporate commitment to the mission and objectives of the University.
