Executive Assistant – Reception

The position is temporary for 1-2 years (substitution of the permanent staff member on maternity leave)

PURPOSE: To provide Administrative and Reception assistance to the Rectors office. Based at the front office of the University the post will provide first line reception and visitor support for all external parties wishing to see the Rector or Rector's Office or other areas of the university. The post will work with the Security officers to identify and support those visitors who wish to enter and meet WIUT colleagues.  The post will also provide administrative support as required to the Rectors Office.

CONTEXT: The University has developed an environment and a set of policies that encourages the development of a professional relationship amongst all colleagues.  This requires a culture of mutual respect, personal responsibility and a commitment to the highest standards of professional engagement. The university receives numerous and a diverse set of visitors, some to see the Rectors Office, to make general enquiries, to see colleagues, to visit as a guest lecture, to attend events and conferences…a wide and diverse range of purposes.  This post is a new post that will provide the first line/call point for such visitors.  The university wishes that the first point is a customer friendly and focused event that impresses the visitors about the culture and environment of the university.

PRINCIPAL ACCOUNTABILITIES:

  • To identify and provide customer focuses and customer friendly first call reception duties to visitors (not prospective students) to the University
  • To record and provide reports when needed on the flow and nature of visitors to the University
  • To provide feedback on the development of the Visitor policy and processes to enable the development of a customer focused and friendly service
  • To work with the front line Security officers in the processes of meeting and greeting visitors
  • To provide administrative support to the Rectors office where needed and directed
  • To liase with the appropriate university services such as Marketing to ensure a coordinated and 'joined up' external customer facing service
  • To support university external events such as conferences, guest speakers, etc
  • Any other appropriate duties as directed by the Rector
  • To keep record of incoming personal parcels/mails

PERSON SPECIFICATION

QUALIFICATIONS

  • Preferably higher education
  • English language proficiency at an intermediate level in particular oral communications
  • A willingness to develop their language skills

EXPERIENCE

  • In a similar customer focused area or external focused post
  • Administrative experience

APTITUDES, ABILITIES, SKILLS AND PERSONAL QUALITIES

  • Good interpersonal skills at a range of levels to communicated to all types of visitors
  • Inquisitive and willing to learn
  • Diplomatic skills of dealing with all types of people
  • Understanding of different approaches to communication and personal interaction
