JOB TITLE: Head of Section – Student Performance
REPORTS TO: Academic Registrar
PURPOSE: To provide support to the Academic Registrar in the management of the Academic Registrars office in particular the organisation of exams and processing, recording and security of information on the performance of students, including all final assessment results, their processing and logging, assessment offences and mitigating circumstances, all formal assessment arrangements and compliance to University regulations, processing data for production of certificates by UoW and all issues associated with graduate results. This post has to ensure the integrity, accuracy and security of all information relating to student assessment, performance and the processing of student performance data, is communicated in a timely, accurate, transparent, comprehensive and customer focused manner. This also includes feedback and analytical reporting requirements as well as compliance to all regulatory bodies. To be the day to day line manager of the staff of the area.
CONTEXT: This is a redefined area of responsibility a crucial area that has existed since the University opened but has now been refined and expanded. The section deals with sensitive and confidential data and processes, namely all data on the assessment of individual students and the final/definitive outcomes of their studies. It requires complete integrity, focus on accuracy and compliance to regulations coupled with a fair and reasoned judgement to ensure that all students are dealt with on an equal and reasoned basis. It is not a student facing function; it deals with the Faculty rather than students. The section does however need to ensure that students have access to their performance history in a customer friendly manner that enables them to have confidence in the accuracy and security of their performance.
Principal Responsibilities
- To be responsible for the quality, accuracy, security and integrity of the information and systems related to the student performance
- To be responsible for organization of the exams and associated processes
- To be responsible for the development and enhancement of the student performance related systems on the SRS and the interface with the UoW and its systems
- To be responsible for the recording and update of all student performance data, the processing and output, once the academic decision has been made.
- To provide timely and accurate information on the student performance for formal confirmation and evaluation of the students progress and final achievement
- To ensure that all such information is available to the student but that it is secure from any form of or exposed to any form of unauthorised access and amendment.
- To ensure that all such information is available for analytical purposes and that it is a form that respects the data privacy of the individual
- To process cases of student Mitigating Circumstances and to ensure that the due process has been followed and that a fair and reasonable treatment of all cases takes place
- To process cases of student Assessment Offences and to ensure that the due process has been followed and that a fair and reasonable treatment of all cases takes place
- To ensure the timely provision of Academic certificates to students and graduates of the university
- To ensure that the student record accurately reflects all the elements of the assessment of the performance of the individual and is held is a secure format.
- To ensure all arrangements for assessment, subject and conferment boards are in place
- To provide reports as required on the performance of the section
- To provide intelligence on the data relating to the process as required by the Academic Council and Executive
- To be the secretary to an Academic Standing Committee, providing all the administrative support
- To provide appropriate analysis to the Academic Council and the executive
- To be responsible for the preparation of relevant Rector’s orders
- To be responsible for the implementation of the relevant section of the Admin Annex
- To undertake any other duties as required by the Academic Registrar or 1st Deputy Rector
Person Specification
The appointee should be able to demonstrate the following:
Qualification
- 1st degree in an appropriate area and preferably
- A post graduate degree
- English to high standard
Experience
- At least 4 years- experience of administrative support, preferably in an educational institution
- Management of colleagues
- Policy analysis and development
- Committee servicing and secretarial support
