JOB TITLE:     Head of Section - Student Records

REPORTS TO: Academic Registrar

 

PURPOSE:    To provide support to the Academic Registrar in the management of the Student Records Functions and to be responsible for associated services provided by the Academic Registrars office, namely a student centred interface for ALL student administrative requirements such as Enrolment, Student Records and processing.  To be the day to day line manager of the staff of the area.

CONTEXT:    This post is Head of a busy area, the front undergraduate and postgraduate office of the university in relation to the administrative needs of students.  It has to blend a customer focus with a rigour to deal with ALL students registered as WIUT/UoW students. It handles the information on the student from Admission to completion.  The post will be responsible for the functions of the area, the implementation of policies, the collection of student data and the reporting of such data for the analysis of student flows, choices and module registrations and related management of information. The post will also be the secretary of the to one of the Academic Standing Committees

Principal Responsibilities

  • To be responsible for the quality, appropriateness and range of Administrative support in relation to records keeping and admissions for students including Post Graduate/Undergraduate and Foundation Students. For such services to be provided in a secure, customer friendly, rigorous and timely manner
  • To oversee the development of the process, procedures and systems for the administrative support for students and their record
  • To be responsible for the process and system of enrolment and security of this information in accordance with the university policies
  • To review and report on the performance of the area and to recommend development and enhancement of its systems and functions
  • To oversee the development of the information systems needed to support the delivery of the services including the enrolment, module registration, module change and systems on the WIUT SRS.
  • To provide intelligence on the data relating to the process as required by the Academic Council and Executive and to ensure that such support is delivered in an appropriate manner
  • To be the secretary to an Academic Standing Committee, providing all the administrative support
  • To provide appropriate analysis to the Academic Council and the executive
  • To be responsible for implementation of relevant sections of the admin annex
  • To be responsible for the preparation of relevant Rector’s orders
  • To undertake any other duties as required by the Academic Registrar or 1st Deputy Rector

 

Person Specification

The appointee should be able to demonstrate the following:

 

Qualification

  • 1st degree in an appropriate area and preferably
  • A post graduate degree
  • English to high standard

 

Experience

  • At least 4 years experience of administrative support, preferably in an educational institution
  • Management of colleagues
  • Policy analysis and development
  • Committee servicing and secretarial support
