PURPOSE:  A key work of the Department Administrator (CPRO) is to support senior management at the CPRO and to monitor all the activities. The Department Administrator (CPRO) will be responsible for managing administrative tasks, providing logistical support for events and meetings, and assisting with various projects as needed. The ideal candidate will be detail-oriented, possess excellent communication skills, and thrive in a fast-paced environment.

PRINCIPAL ACCOUNTABILITIES:

  • Support the CPRO, in developing and delivering the office-related activities.
  • Maintain and monitor CPRO office documentation, including incoming and outgoing correspondence.
  • To initiate and respond to contact from students and members of staff, over the telephone, through the internet/e-mail, social media (as appropriate), in person and by letter.
  • Regularly update and maintain the CPRO webpage and social media pages.
  • Assist in planning and coordinating events, workshops, and meetings, including scheduling, venue arrangement, and catering.
  • Support financial administration tasks such as processing invoices, expense reports, and reimbursements.
  • Assist in writing reports, analyzing data, and various projects.
  • Serve as a point of contact for internal and external stakeholders, including staff, clients, and partners.
  • Secretarial support for meetings, including agenda preparation, minutes and action follow-through of meetings.

  • Осматривать рабочую зону и убедиться в том, что все колодцы закрыты крышками, траншеи ямы огорожены, а на территории нет торчащих из земли острых предметов (арматуры, проволоки, битого крупного стекла и пр.).

  • Производить уборку закрепленной за ним территории.
  •  Ограждать   опасные   участки   и   сообщать   об этом своему руководителю.
  • Извещать своего    руководителя   о   любой ситуации, которая угрожает здоровью и жизни людей, о каждом несчастном случае, произошедшем на обслуживаемой территории.
  • Очищать установленные на территории урны по мере их наполнения (но не реже двух раз в день) и места их установки.
  • Осуществлять   промывку   и   дезинфекцию   урн   по мере их загрязнения.
  •  Осуществлять профилактический осмотр, удаление мусора из мусороприемных камер и их уборку.
  • Очищать крышки канализационных, пожарных и газовых колодцев.
  •  Рыть и прочищать канавки и лотки для стока воды.

PURPOSE:    The Event Coordinator will execute a comprehensive events program supporting University-wide enterprise events as well as large-scale events for the University Administration, SOBE, SOLTE, Graduate Schools and other WIUT departments.   • To be responsible for Event marketing: desktop publishing, create and send email invite using social media and internal events management tools, manage event registrations and communications with event attendees, and create attendee reports as required;

Due to the expansion of the university and the need to address organizational matters associated with examinations, the area of examination progression and awards requires further strengthening. This is essential to ensure clarity of responsibilities, an even distribution of workload, and effective management of the area. The post is responsible for maintaining the sustainability and effectiveness of this area.

PRINCIPAL ACCOUNTABILITIES:

  • To be responsible for an area of work as designated by the Head of Facility Support Service;
  • To be responsible for the organization of exams, preparation of exams and invigilation timetables, and exam rooms;
  • To be responsible for the process of exam script printing in accordance with the university policies and procedures;
  • To timely collect all necessary information from the teaching staff for booking classrooms and rooms necessary for organizing exams;

PURPOSE:  

The Senior Research and Development Officer will provide administrative direction for the development of support for the University's Research activities. This position will manage the members of the Research Development support team. The Senior Officer will also work closely with the Deputy Rector on Research and Innovation, the Dean of Graduate School, and the Associate Deans on Research to enhance the quality of administrative support in the research environment. The primary responsibility of this role is the development of efficient administrative support systems.

PRINCIPAL ACCOUNTABILITIES:

  • Develop and deliver administrative support policies, systems, and structures to support the University's Research Development Strategy.
  • Provide analytical and information support on the development, effectiveness, and quality of research.
  • Develop and manage the administrative and logistical support systems for Research activities.
  • Assist in the development and management of the University's research promotion and dissemination processes in collaboration with the Marketing and Communications Department.
  • Provide analytical reports on the effectiveness of the University's research activities, including an annual research report and other institutional requirements.
  • Develop and implement data analysis and feedback systems to monitor the quality of research.
  • Administer the support for research-related activities such as projects, workshops, conferences, seminars, and other initiatives that contribute to the development of research.
  • Monitor and appraise the performance of the Research administrative support office, including staff management.
  • Working with university faculty members on research support schemes (conference travelling, research publications, etc.).
  • Communicating internal & external research activities / information to faculty members using weekly Newsletter.
  • Close collaboration with government organizations and ministries on graduate programs, namely Ministry of Higher Education, Science and Innovation, Supreme Attestation commission and etc.
  • Strengthen international collaboration: Graduate School University of Westminster, London.
  • Support Dean of Graduate School on Research Ethics matters
  • Preparing planning, reports and presentations on Research related matters based on needs or request.
  • Supervise Students Research Society activities
  • Monitor Research Assistants performance
  • To carry out any other University responsibilities as may reasonably be required by the Deputy Rector on Research and Innovation and Dean of Graduate School from time to time.

QUALIFICATIONS

  • An undergraduate degree or equivalent in any discipline

EXPERIENCE

  • At least 3 years of administrative experience

PURPOSE:   To assist Head of Student Records in management of the student support functions and to be responsible for associated services provided by the section. To handle all data related to students and ensure that information is gathered in accurate and timely manner and constantly updated. To assist in providing enrollment, module registration of newly admitted and current student. To coordinate collaboration with the Faculty in arrangement of changing modules, educational workshops for students. To be the day to day senior officer of the staff of the area.

CONTEXT:     This is the front undergraduate and postgraduate office of the university in relation to the administrative needs of students.  It has to blend a customer focus with a rigor to deal with ALL students registered as WIUT/UoW students. It handles the information on the student from Admission to completion.  The post will be responsible for cooperation with all university stakeholders and ARO staff for implementation of policies, the collection of student data and the reporting of such data for the analysis of student flows, choices and module registrations, all achievement records and related management of information.

Principal Responsibilities

  • To be responsible for the quality, appropriateness and range of Administrative support in relation to records keeping and admissions for students including Post Graduate/Undergraduate and Foundation Students. For such services to be provided in a secure, customer friendly, rigorous and timely manner
  • To assist the development of the process, procedures and systems for the administrative support for students and their record
  • To be responsible for the process and system of enrolment and security of this information in accordance with the university policies
  • To review and report on the performance of the area and to recommend development and enhancement of its systems and functions
  • To oversee the development of the information systems needed to support the delivery of the services including the enrolment, module registration, module change, achievement records and systems on the WIUT SRS.
  • To provide intelligence on the data relating to the process as required by the Head of Student Records and to ensure that such support is delivered in an appropriate manner
  • To provide appropriate analysis to the Academic Council and the executive
  • To be responsible for implementation of relevant sections of the admin annex
  • To be responsible for the preparation of relevant Rector’s orders
  • To undertake any other duties as required by the Head of Student Records and Academic Registrar
